The Business Profile

The company managed a mix of residential and small commercial properties for a growing number of owners. A small leasing team handled inquiries and showings, a maintenance coordinator dispatched vendors and technicians, and an office manager kept the leases, owner statements, and records in order.

Every team had found its own way to cope. Leads lived in email inboxes. Lease dates lived in a spreadsheet. Maintenance requests arrived by phone call, text message, and email, and were tracked on whatever was nearest, including sticky notes. It worked while the portfolio was small. With each new building, it got harder to know what was happening and who was responsible for it.

The Challenge

Leads and Inquiries Scattered Across Inboxes: Prospective tenants wrote in through several channels. Follow-ups depended on whoever saw the message first, and some inquiries went cold without anyone noticing.

Maintenance Requests That Got Lost: Requests came in by phone, text, and email, with no single list. Tenants had to call again to ask for updates, and recurring problems were hard to spot.

Lease Dates Tracked in a Spreadsheet: Renewals, notice periods, and expirations were reviewed by hand. A missed date could mean a vacant unit or an unplanned month-to-month tenancy.

Vendor and Work Order Tracking by Memory: It was hard to see which vendor had been sent, what was promised, and whether the job was actually done.

Owner Reports Built by Hand: Each month, the office pulled figures from several places to explain activity and costs to property owners, which took days and sometimes had to be corrected.

Our Approach

ZillTech began with the people doing the work: leasing agents, the maintenance coordinator, the office manager, and the owner of the company. Instead of switching everything on at once, we planned a phased rollout, so each team could get comfortable with one change before the next arrived.

Discovery and a Clear Roadmap

We mapped how a prospect becomes a tenant, how a maintenance request becomes a completed job, and how a lease moves from signing to renewal. Each stage was ranked by how much it cost the business in time and missed opportunities. The result was a written roadmap that told the company what would be built first, what would come later, and why. This is the same kind of planning described in our Zoho consulting work.

Phase One: Leasing in Zoho CRM

The first phase put every inquiry into Zoho CRM with an owner, a stage, and a next step. Showings, applications, and follow-ups were tracked in one pipeline, so leasing agents could see what needed attention each morning. Existing leads and tenant data from spreadsheets were cleaned and imported, so the team started with usable records. If your data lives in older systems, our Zoho migration service covers that step.

Phase Two: Maintenance Requests in Zoho Creator

Zoho Creator was used to build a custom maintenance request app. Requests are logged in one place, assigned to a vendor or technician, and tracked from first report to completed work. Tenants receive status updates automatically, and the coordinator can see everything open at a glance. This kind of tailored app is possible because of the flexibility across Zoho applications.

Phase Three: Lease Dates and Renewal Automation

Lease start dates, expirations, and notice windows were stored as structured data. Using Zoho Flow and custom functions, the system reminds the team ahead of each renewal window and prompts the right follow-up, so key dates no longer rely on someone remembering to check a spreadsheet.

Connected Records

Tenants, properties, owners, leases, and work orders were linked, so anyone looking at a unit can see its history: who lived there, what was repaired, and what is open. The company’s accounting tool was connected where it made sense, and failed syncs raise an alert. See how we approach this in our Zoho integration service.

Owner Reporting, Training, and Handover

Zoho Analytics dashboards now show occupancy, open maintenance requests, upcoming renewals, and leasing activity on one set of definitions, which makes monthly owner reports far quicker to prepare. ZillTech trained each team on its own phase, documented how the system works, and trained an in-house administrator so everyday changes don’t depend on an outside developer. More on this part of our work is in our Zoho Analytics & Reporting service.

Why It Mattered

In property management, trust runs in two directions. Tenants want requests handled promptly, and owners want to know their asset is looked after. Both groups notice delays, and both can leave. The company didn’t need a long wish list of software. It needed a few connected tools that the team would actually use, introduced at a pace the staff could absorb.

From Organized Teamwork to Portfolio Growth

The Results: Faster Follow-Up, Fewer Missed Dates & Clearer Reporting

The rollout replaced a patchwork of inboxes and spreadsheets with a connected system that each team now uses every day.

Inquiries That Get Followed Up: Every lead has an owner and a next step, so fewer prospects slip away unnoticed.

Maintenance Requests in One Place: Requests are logged, assigned, and tracked to completion, and tenants no longer have to chase for updates.

Lease Dates Under Control: Renewal windows are flagged ahead of time, which gives the team room to act before a unit becomes vacant.

A Full History for Every Unit: Tenants, repairs, and leases are linked, so anyone can see what happened and what is still open.

Owner Reports That Come Together Faster: Dashboards built on one set of definitions replace the monthly scramble through separate files
