This is an illustrative scenario based on a common challenge faced by mid-sized hospitals and multi-department healthcare facilities, demonstrating how ZillTech’s Zoho consulting team uses Zoho Consulting, Zoho Implementation, and Customization & Automation services to build a custom asset tracking application. Company details are representative of a typical client profile and not an actual ZillTech engagement.

The Business Profile
The hospital operated across multiple wards and departments, with hundreds of pieces of equipment in daily circulation: infusion pumps, ventilators, patient monitors, ECG machines, and wheelchairs. Equipment moved constantly as patients were admitted, transferred, and discharged, but the records that described it did not keep up. Asset registers lived in spreadsheets, service dates in paper logs, and warranty papers in the purchasing office. In a hospital, an untracked asset is more than an accounting problem. A device that has missed its calibration date, or can’t be found when a ward needs it, directly affects patient safety. The same principle of replacing scattered spreadsheets with one connected platform applies to equipment records. The biomedical engineering and facilities teams faced five recurring problems:
The Challenge
- Missed Maintenance and Calibration: Preventive maintenance and calibration dates were noted on paper or in spreadsheets, so services were easy to overlook, creating safety risk and gaps during accreditation reviews.
- Equipment Nobody Could Locate: When a device moved between departments, the change rarely reached the register. Staff would search wards for a ventilator or pump that the records said was somewhere else.
- Warranties and Service Contracts Lapsing Unnoticed: Coverage end dates weren’t tracked in one place, so the hospital sometimes paid out of pocket for repairs that a vendor should have covered.
- Infrequent, Paper-Based Physical Audits: Checking the register against what was actually on the floor happened once or twice a year with printed checklists, and missing or misplaced assets could go unresolved for months.
- Slow, Stressful Accreditation Prep: When reviewers asked for maintenance history, calibration records, and audit trails, staff had to pull the evidence together from scattered files under time pressure.
Why It Mattered
Medical equipment is only useful if it is available, safe, and serviced on time. Before recommending any build, ZillTech first mapped how an asset moves through the hospital, from purchase and tagging to allocation, servicing, warranty expiry, and retirement, to find where information was being lost between the biomedical team, the wards, and procurement.
Our Approach
Before building anything, ZillTech worked with the biomedical engineering, facilities, and procurement teams to document the real lifecycle of a hospital asset. The goal was a system built around how these teams actually work, with every event (a transfer, a breakdown, a service, an audit scan) tied to one physical asset and one record, rather than a generic inventory tool.
One Connected Record for Every Asset
ZillTech built a custom application on Zoho Creator, with each asset carrying a unique ID, category, department, purchase details, and a QR tag. Allocation, maintenance, warranty, and audit history all link back to that single record, replacing five separate files with one view.
QR-Based Allocation and Transfers
Staff scan an asset’s QR code from the Zoho Creator mobile app to see where it is and who holds it. Department-to-department transfers go through an approval step, the receiving department is notified automatically, and a full movement history is kept.
Scheduled Maintenance and Breakdown Logging
Preventive maintenance and calibration intervals are set per asset category, and the system reminds the biomedical team before a service falls due. Ward staff can log a fault straight against the asset, and its status switches to Under Maintenance so it can’t be allocated until the service is closed.
Warranty and Contract Tracking
Warranty and service-contract dates are stored against each asset, with automated alerts ahead of expiry. Repair costs are split between covered and uncovered, which gives procurement the data to decide what to renew. Cost visibility like this works the same way in how a trading company used Zoho Inventory and Books to expose hidden costs.
QR-Scan Audits with Automatic Escalation
Audit cycles are scheduled by department or asset category. Staff scan assets with the mobile app, and the system checks each one against the register. Missing or misplaced items are flagged and escalated to the asset manager automatically, instead of waiting for the next annual review.
Reporting for Leadership and Accreditation
Zoho Analytics dashboards give management a live view of asset status, upcoming services, expiring coverage, and audit results, and produce summary reports on demand. Visibility gaps like this show up across healthcare, from hospital equipment to how a multi-location veterinary clinic unified scheduling, records, and supplies.
Why ZillTech
As an Authorized Zoho Partner, ZillTech specializes in turning fragmented, manual processes into connected, automated Zoho systems, the same approach behind our work in the Zoho CRM for Healthcare space, built around how a specific hospital actually manages its equipment, not a generic template.

The Results: Faster, Safer & More Accountable Equipment Management
The custom Zoho Creator application turned scattered registers and paper checklists into one connected system, giving the hospital clear visibility of every asset from purchase to retirement.
Fewer Missed Services:
Automated reminders alert the biomedical team before maintenance and calibration dates arrive, not after. Because service schedules no longer depend on anyone’s memory or a paper log, equipment stays safer to use and compliance gaps close.
Equipment That Can Be Found:
Every transfer is recorded and approved, so staff can see where a device is and who holds it. Time once spent searching wards for a missing pump or monitor goes back to patient care.
No More Surprise Repair Bills:
Alerts ahead of warranty and contract expiry give procurement time to renew or budget for the change. Repairs that should be covered are no longer paid for simply because nobody noticed the coverage had lapsed.
Audits in Hours, Not Months:
QR-scan audits let staff verify a department against the register from a phone. Mismatches are flagged immediately and routed to the asset manager, so missing and misplaced items are resolved while there is still a trail to follow.
Accreditation-Ready Records:
Maintenance history, calibration records, and audit results sit in one place and can be pulled on demand. Preparing for an accreditation review becomes a matter of running a report, not hunting through files.
What the Client Says About ZillTech:
“We used to rely on spreadsheets and a yearly paper audit, and we only found out about a missed service or an expired warranty after the fact. Now every asset has a history we can see in seconds, and the reminders reach us before anything slips.”
