Challenge

Buy House EZ faced challenges in managing its customer applications and keeping track of essential documents, communications, and financial calculations. Their existing process lacked automation, leading to inefficiencies and errors, particularly when handling customer data and calculating home affordability. Buy House EZ required a solution that would streamline their workflows, automate document creation, and accurately determine how much their clients could afford to spend on a home.

Implementation

ZillTech implemented Zoho CRM from scratch for Buy House EZ, designing and integrating a custom business process flow using blueprints, workflows, auto-assignment, and scoring rules. This setup ensured that leads were efficiently managed and automatically assigned to the appropriate team members based on specific criteria. To streamline operations, ZillTech integrated Zoho CRM with Zoho Workdrive, Zoho Cliq, and Zoho Projects. A key feature of the integration was the automatic creation of a Workdrive folder whenever a new customer application was submitted. This folder was linked to the application within Zoho CRM, allowing easy access to important documents via a URL directly within the CRM.

Additionally, ZillTech developed and implemented an Algorithm Simulator and automated formula fields within the CRM. This feature allowed Buy House EZ to input customer expenses and earnings, enabling the system to automatically calculate and display how much of a home the customer could afford. This not only improved accuracy in financial projections but also enhanced the overall customer experience by providing immediate feedback.

Results

Following the Zoho CRM setup and integrations, Buy House EZ experienced a significant improvement in process efficiency. The automation of key workflows and document management saved the team time and reduced errors in handling customer applications. Moreover, the Algorithm Simulator provided accurate financial insights, allowing Buy House EZ to offer more personalized and informed services to its clients.
